General questions
- Why must part-time/temporary/non-benefits-eligible jobs be posted with HR?
My U Signature Experience (MUSE) is an institutional priority. This effort includes assisting students as they seek employment on campus. In conjunction with MUSE, staff jobs that are part-time, non-benefitted, not exclusive to students must be posted through Human Resources so that students have an online resource for finding jobs on campus.
- Are all jobs included in this posting requirement?
Most jobs must be posted. There are a few job codes outside the scope of this requirement. To see a complete list, please click here.
Questions related to posting the job
- If I hire a part time position through a posting, will that employee be eligible for future Internal to Department postings?
Yes, any employee competitively recruited is eligible to apply to Internal to Department postings whether those positions are full or part-time. In order to qualify as competitively recruited, the employee must have been hired through a posting that was open for 7 days if External/Internal to the U or for 3 days if posted Internal to Department.
If you're not sure if a candidate was competitively recruited, please contact your HR Representative or your embedded HR Analyst. - Are there other ways that HR can assist me as I post part-time jobs, to make the process as quick and easy as possible?
We have two other services we can provide for you, upon request:
- Copying jobs: If you know you will need to post a job multiple times, and the elements of the job will not change, we can copy a job posting that you previously used. When you submit a Position Requisition form, you do not need to complete the non-required fields (working title, min qualifications, responsibilities, and preferences), but can simply state in the “preferences” section “Please post a copy of my previous job posting number *****.”
- Continuous posting: If you know you will be hiring multiple incumbents into one position over time, we can keep a job posting open for you. We will periodically refresh the posting, so that it appears back at the top of the list of available positions on the HR website. Please indicate in the “Preferences” section that you want Continuous Posting, and HR will process accordingly.
- I already know who I want to hire, and it is not a student, so may I hire them without posting the job?
You need to post the job, but please see questions #3 and #5 above for ways that HR can assist so that the posting process is as simple as possible.
- My department doesn’t have the time, resources, or enough staff to do the work required to post these part-time positions. Do I have to post the job?
You need to post the job, but please see questions #3 and #5 above for ways that HR can assist so that the posting process is as simple as possible.
- Now that I’m posting jobs with HR, I am receiving too many applications. Can you assist?
You have two options:
- Work with HR to set up screening questions to target only qualified applicants who meet your preferences.
- Applications are forwarded to departments electronically via email, with a web link to applications and resumes. You are not required to consider all applicants. However, veteran’s preference guidelines do need to be applied, so you must view the emails you receive from HR which will indicate if any of your applicants are veterans. Please contact your HR Rep for assistance.
Questions related to student employees
- We always hire students into this job code, or I know who I want to hire and it is a student. Do I need to post the job?
If you are hiring a currently enrolled University of Utah student, it is your choice whether or not to post the job.
If you post the job, use the same job code you have used previously.
If you do not post the job, select one of the following job codes, which will not require a job posting number on the hire ePAF: (MUST BE CURRENT STUDENT AT THE UNIVERSITY OF UTAH)
- 0673 UU Student Labor
- 0674 UU Student Admin./Clerical
- 0675 UU Student Cultural Arts
- 0676 UU Student Instruction
- 0677 UU Student Other
- 0692 UU Student Computer
- 0693 UU Student Library
- What if I want to hire a student but I also want to use the job code I previously used? (e.g. Clerk or Cashier).
Only the student job codes listed above will allow an ePAF to be processed without a posting number.
0672 UU Student Research
- What if I want to hire a University of Utah student as an intern?
It is your decision whether to post of not. If you do not post, select the appropriate job code from the list above.
- What if I want to hire a student from another school (e.g. Salt Lake Community College?)
You must post the job.
- Must I change the job code of current student employees to one of the student job codes listed above?
No, you do not need to change job codes for current employees.
- Can the job application request that student applicants provide their class schedule so that I can assign them an appropriate schedule?
The job application allows applicants to provide their “Available Work Schedule” for each day of the week.
- How will this process help students?
There are many part-time jobs on campus that University students may qualify for and may be interested in, but previously those jobs were not necessarily posted. This process provides more job options on the HR website. We also have other resources for students:
In the Student Union, we have a bulletin board where we post a hard copy list of all currently available part-time jobs.
The student employment website includes a list of part-time jobs, tips about how to apply for jobs, and links to other departments on campus.
Questions about the application process
- This process requires applicants for part-time jobs to apply through the HR online system. Some applicants have never had to do that before. Will this application process be lengthy and/or complex for part-time applicants and how can HR assist them?
Applicants may receive assistance from HR by calling 801-581-2169 or sending an email to employment@utah.edu.
- May I just request that applicants send a resume directly to me?
Applicants must apply online, but you may also request that applicants send resumes to you.
