Job Summary

Coordinates and oversees production of the quarterly Class Edition catalog and all print media for the marketing area of the Academic Outreach and Continuing Education Office (AOCE). Coordinates advertising in print media and direct mail projects.

Qualifications

Bachelor's degree in Marketing, Communications, or a related field, or equivalency; three years practical experience writing, editing and/or proofreading; and the ability to use Word Perfect, meet multiple deadlines and provide excellent customer service required.

A background that includes market research, print production, attention to detail and knowledge of mailing procedures preferred.

Essential Functions

  1. Oversees production of the quarterly AOCE catalog by compiling and editing copy, coordinating typesetting and design, and supervising mailing and delivery to advertise AOCE courses.
  2. Tracks production of all print media jobs and coordinates direct mail program to ensure all deadlines are met by copywriters and designers; ensures direct mail advertising projects meet client's deadlines and budget.
  3. Oversees the accounts payable/receivable function related to quarterly catalog production, direct mail projects and print media advertising to ensure vendors are paid and clients are billed.
  4. Procures advertising space in magazines and newspapers to advertise AOCE programs, generate consumer interest and increase enrollment.
  5. Assists copywriters by writing, editing and proofreading to assist in overflow work and meet client deadlines, and acts as Account Executive on various jobs.
  6. Tracks and compares University extension course offerings with competing local schools to maintain a competitive posture.
  7. Assists in marketing surveys/research projects by compiling information needed by programmers to determine target audiences for AOCE programs.
  8. Coordinates awards competition entries to keep the department current in awards competitions and ensure national and state-wide recognition.
  9. Represents the office at education fairs and community events.

    Problem Solving

    The incumbent has the authority to assist clients and make recommendations to them pertaining to the appropriateness of advertising medium for their target audience. She/he also has the authority to determine which last minute changes will be made to the quarterly catalog. Problems encountered in such decisions must be weighed against the slowdown in production which usually results in higher production costs, followed by shorter time frames to meet deadlines. The incumbent also has the authority to assign rush projects to copywriters, necessitated by client deadlines, which can result in overtime work.

    The incumbent ordinarily will work to resolve any client disputes, however those that cannot be resolved are referred to the supervisor.

    The incumbent has the latitude to work the departmental budget to offset design and production costs of the quarterly catalog and various publications.

    Comments

    Annually, the incumbent must coordinate all aspects of production on four catalogs, ranging in size from 120 to 170 pages; track production of over 600 print/video jobs; and coordinate approximately 60 direct mail projects annually.
