Job Summary

Performs a wide variety of duties related to the scheduling, checking, and assigning of University vehicles for service repairs, and other required maintenance.

Qualifications

Two years computer related experience in a shop environment; a knowledge of related software for service writing, spreadsheets, and budgeting, or equivalency; one year previous supervisory experience; demonstrated oral and written communications skills, analytical, and troubleshooting skills; and demonstrated customer services skills required.

Essential Functions

  1. Exercises responsibility for the daily operation of the shop (and campus service station) by assigning jobs to mechanics and scheduling repair work of the Motor Pool vehicles to be serviced.
  2. Inspects and tests automobiles and trucks by road test, visual or audible inspection, or by using mechanical testing equipment to determine the need of repairs, or verifying if repairs have been made.
  3. Maintains necessary inventories and required stocks of parts for the parts room, ordering parts not in stock, being responsible for maintenance of shop equipment and uniforms, in order to insure adequate availability of essential items at all times.
  4. Carries out numerous small repairs such as replacing wiper blades, light bulbs, repairing flat tires, in order to free the mechanics for the more demanding tasks, thus promoting smoother operation within the shop.
  5. Contributes towards a better public image and working environment by developing good working relationships with all Motor Pool customers and workers, in order to bring about a positive image.
  6. Assumes responsibility for all part-time employees (car washers, part chasers, and gas pump operators) which includes assigning jobs, scheduling work, checking performance, to help lighten the load of the Motor Pool Supervisor.
  7. Prepares and maintains repair orders, inventory lists, part requisitions, by entering and recording the necessary data to insure accuracy and correctness of such records and reports.
  8. Meets with sales persons and manufacturer representatives to review new products and to make purchases as necessary.
  9. Calculates the bills for all repairs of departmental automobiles and notifies the departments of the charges.
  10. Assigns vehicle numbers to new vehicles and marks the vehicles with the state seals and University numbers.
  11. Maintains and updates the master key file for all University vehicles.

    Problem Solving

    This position is given the authority to prioritize and make work assignments. The incumbent is also given the authority to act for the supervisor in his/her absence.

    Some challenges the incumbent may encounter include changing schedules to accommodate emergency repairs to the fleet as they arise; scheduling more than 450 vehicles for the semiannual safety and emission inspections; and locating needed repair parts for older vehicles.

    The incumbent supervises 7 full-time non-exempt employees and 5-6 part-time hourly employees.
