Job Summary

Responsible for the maintenance and operation of all space in the Jon M. Huntsman Center, Rice Stadium, the Tennis Facility, the Library Storage Facility and the Athletic Support Facility. Coordinates all manpower and equipment needs to set up special events all over campus including the JMHC, Rice Stadium, and the Tennis Facility.

Qualifications

Four years of progressively responsible supervisory experience in the custodial area; two years previous experience in portable stage construction and set up experience; knowledge in carpentry, electronics, etc.; demonstrated oral and written communications skills; and customer service skills required.

Essential Functions

  1. Coordinates all set ups and tear downs of concerts, football games, men and women's basketball games, gymnastics meets, high school basketball, and high school football games.
  2. Coordinates all TV set ups for events for local and national TV.
  3. Coordinates special events needs on campus for canopies set ups, umbrella tables, special white folding chairs, podium for the president whereever he speaks on campus. Sets up for meetings in the Alumni House, and retirements in the JMHC lounge.
  4. Trains Special Services crew on how to set up the portable stage, on how to operate spot light, set up the portable sound system, and how to set up and maintain the portable lighting system.
  5. Assures that each special event is set up and done in the allowed time frame and budget. At different times through out the year the incumbent will have to coordinate 2 or 3 events in one day. Frequently set ups and tear downs have to be done at night, and work until early the next morning.
  6. Directs the maintenance and the marking of three grass football fields and the maintenance, marking and repair of astro-turf in Rice Stadium, making sure that the markings on the field meet the exact standards established by the NCAA.
  7. Controls spending for supplies and maintenance budget for the operation of the Special Services Section. Maintains payroll records for Special Services for all straight time and overtime events on computer.
  8. Responsible for the safe storage and use of special equipment that is used for athletic events and special events set ups.
  9. Coordinates the activities and resources of several divisions in performing the set ups required and the services expected in connection with the hundreds of special events that are held each year.
  10. Hires, trains and supervises full time and part time employees in custodial cleaning, maintenance, refinishing, re-striping when needed, and maintaining basketball floor, and in the operation of all equipment used for cleaning to include, vacuums, water vacs, buffers, automatic scrubbers, high speed buffers. Trains the crew on maintenance and repair of equipment and in painting the Astro Turf at Rice Stadium using a airless paint gun.
  11. Buys all supplies and equipment. Maintains inventory of supplies and maintenance of equipment on a computer.
  12. Ensures that all athletic events held in the Huntsman Center, Rice Stadium, and the Eccles Tennis Facility are set in accordance with NCAA standards.
  13. Provides assistance to University departments needing special set ups for events, insuring that the events are run smoothly and without problems.
  14. Insures that the budget expenditures are maintained within the authorized budget.

    Problem Solving

    The incumbent has authority to make expenditures from his/her authorized assigned budget within the guidelines of University policy. He/she also has the authority to hire, fire, train and make salary decisions on employees assigned to the Special Services and to prioritize and make work assignments.

    Problems encountered in this position include communicating with other departments concerning the set up that they want and why they can not have it their way.

    Comments

    The Special Services crew has prime responsibility for the condition and operation of the lighting, heating, cooling, and electronic equipment and gear that belongs to or is used in the Huntsman Center, Eccles Tennis Facility, Library storage facility, Athletic Support Facility, and Rice Stadium. The Special Services division is also responsible for the setting up of all of the physical facilities that are required by all special events throughout the campus.
