Job Summary

Procures materials, tools, and equipment needed by Maintenance and Operation shops to maintain and repair University buildings and equipment. Locates sources of supply and makes arrangements for the delivery, coordination and expediting of purchases made through the Purchasing Department.

Qualifications

Three years of previous procurement experience preferable in the building trade area; a familiarity with accounting procedures and automated inventory control procedures; and demonstrated verbal and written communications skills required. A background in the construction industry is preferred.

Essential Functions

  1. Reviews work orders from shops for specifications and quantities of materials requested and determines appropriate sources of supply.
  2. Oversees the preparation of and is responsible for the accuracy of all $300 purchase orders and purchase requisitions issued through the Materials Office, on behalf of most of the Maintenance and Operations departments and shops. Through the use of either type of document, up to $3 million in goods and services are procured for the University.
  3. Keeps and maintains current catalogs, price lists and source information on defined products and materials in order to provide the shops with up-to-date and accurate information.
  4. Meets with salespersons to obtain information regarding products, prices and deliveries to maintain knowledge of products and services available from specific sources.
  5. Researches catalogs for substitutions or updated information on obsolete materials or equipment. Notifies shop of the results of the research.
  6. Oversees the maintenance of records on procurement activity throughout the year and the generation of requested reports on an as needed basis.
  7. Acts as liaison between the shops and Purchasing to resolve problems arising from damaged merchandise, incomplete orders, merchandise shipped in error, or merchandise received not meeting the shop's expectations.
  8. Oversees the issuing of tools from the tool room and the proper maintenance of the tools upon return. Responsible for the security of tool inventories.
  9. Insures that appropriate materials in sufficient quantities are on hand in order for shops to complete outstanding work orders.
  10. Maintains a coordinating liaison relationship between the Maintenance and Operation shops and offices and Purchasing for materials being procured.
  11. Provides accurate and timely information to shop supervisors to allow for informed decision making.

    Problem Solving

    This position has the authority to procure materials and equipment (under $300) to complete projects and work orders of the various shops. Coordinates the activities of the procurement process with Purchasing for orders that are over $300 or need to be bid out.

    The most frequent problems associated with this position include dealing with Maintenance and Operations shop supervisors on out of date names or part numbers for materials needed to complete a specific project.
