Job Title: Scheduling Specialist

Job Summary

Updates and produces class schedules each semester. Coordinates with departments to make subsequent changes or corrections. Arranges special events and presentations by locating facilities and equipment for the event. Answers general questions from the public regarding class locations, registration and special events.

Qualifications

Three years directly related experience required. Ability to prioritize and complete multiple tasks in a fast paced environment; demonstrated computer software skills, which include Excel, Word, and the ability to use and manipulate a database. Excellent human relations and effective communication skills also required.

Essential Functions

  1. Works with departments to create and enter the class schedule information into multiple databases each semester.
  2. Processes requests from departments for adding or changing class schedules.
  3. Locates available classrooms to accommodate changes, prepares and posts change notices.
  4. Schedules special events; arranges for security, parking, or other services based upon the contractual agreement.
  5. Responds to inquiries from departments or the general public regardingclass schedules and special events.
  6. Opens and distributes mail, prepares memos and generates a variety of related reports.

     

Problem Solving

Once a modification is made to the origional schedule, the incumbent must resolve room-scheduling conflicts between departments. In addition, classrooms often must be set up with specialized equipment. The incumbent must be able to ascertain whether the equipment will be available, as well as how and when to hve the quipment set up if it is not already in the assigned room. The inbumbent follows the established policies and prodecures to make decisions regarding safety codes and environmental health issues as they relate to coordinating rooms and events. Problems not addressed in the manual are referred to the supervisor.
