Job Summary

Manages and oversees all functions pertaining to the mechanical, electrical, maintenance and custodial activities of the Bookstore facility, including assignments related to building renovation, fixture building and relocation, equipment and furniture installation, running cabling and all maintenance requiring physical modification, or construction.

Qualifications

Associate degree in facilities maintenance, business management, or equivalency, three years of experience in a facilities maintenance capacity, including one year of management experience that includes budget preparation, and a commitment to provide excellent customer service required.

Six months retail environment experience pertaining to facilities maintenance preferred.

Essential Functions

  1. Monitors and coordinates the installation of necessary cabling, equipment, telephones and fixtures; oversees custodial and maintenance responsibilities; and manages overall building maintenance, mechanical needs and construction throughout the store to ensure proper working order of the facility.
  2. Supervises staff by interviewing, hiring, training conducting performance appraisals, recommending salary increases and promotions, etc. to have a competent, fully functioning workforce.
  3. Plans annual needs and coordinates the bid and purchase process for all assets costing more than $500 to over one million dollars; and coordinates construction projects on, and around the building to facilitate both processes.
  4. Monitors and re-establishes maintenance contracts each year; proposes bids when necessary and awards contracts; and maintains direct and regular communications to ensure consistent operation of all mechanical systems.
  5. Prepares and maintains an efficient and effective department budget to assure department financial goals and objectives are met.
  6. Monitors and discards all items written out of stock; maintains inventory of all store assets; assists with functions pertaining to security systems including alarms and surveillance equipment to deter internal and external theft.
  7. Maintains appropriate communications with management personnel throughout the store to facilitate sale, inventory, quarter opening and buyback setups, and ensures smooth installations without interruption to customer needs and systems operations.
  8. Maintains all documentation of University property; conducts annual inventory coordinated with Property Management; maintains documentation throughout the year as new assets are acquired to provide accurate recordkeeping.
  9. Maintains all documentation for semi-annual retail inventories including design and production of maps displaying all areas and fixtures, and coordinates daily schedules and special needs for departments to facilitate the process of counting departmental assets.
  10. Maintains and oversees all custodial functions including cleaning, pest control, painting, carpet repair and replacement, etc. to handle these needs as they arise.

Problem Solving

The Bookstore Facilities Maintenance Supervisor has authority to spend store funds for repair and maintenance of various needs, including mechanical and electrical breakdowns, acquisition of equipment, occupancy repairs and occasional overtime hours for employees. He/she also has the authority to hire/fire, supervise, train and give performance appraisals to staff. The incumbent works with an annual and payroll budget, and supervises 3 hourly part-time employees. She/he coordinates the bid process, acquisition and installation of University R & R funds.

Decisions pertaining to additional funds for construction projects, are an example of matters referred to the supervisor.
