Job Summary

Provides routine office support. Reviews and processes documents and requests for information, maintains files, enters data and distributes mail.

Qualifications

One year of general office experience, or equivalency; effective communication skills, and a commitment to provide excellent customer service required.

A hiring department may require a minimum typing ability.

This position is patient-sensitive and must fulfill all associated vaccination requirements, or be approved for an exemption, prior to the first day of work. We protect our patients, coworkers and community by requiring all patient-sensitive employees to be immunized according to CDC standards and hospital policy. Limited exemptions may be made for documented medical contraindications or religious beliefs that object to vaccinations.

Essential Functions

  • Reviews and processes applications, requisitions and related forms; reviews them for accuracy and completeness; ensures compliance with University and department policies, procedures and regulations.
  • Answers inquiries that may result in a search for records.
  • Performs reports by gathering and assembling data.
  • Maintains filing systems by determining the most appropriate filing category.
  • Receives, sorts and distributes incoming and outgoing mail
  • Answers, screens and routes incoming telephone calls.
  • May receive payments and prepare receipts for routine fees and bills and verify the collected monies against cash register tapes and statements.

Problem Solving

This position must make time management decisions that ensure all duties are completed in a time effective manner. It assists frustrated customers in a professional, courteous manner while trying to help solve their problems. It determines the requisite person or department to direct incoming questions and problems that this incumbent is unable to answer and refers difficult or unusual situations to the supervisor.

Nearly Continuously: Office environment.

Physical Requirements and Level of Frequency that may be required

Nearly Continuously: Sitting, hearing, listening, talking.

Often: Repetitive hand motion (such as typing), walking. 

Seldom: Bending, reaching overhead.

The staff member must be able to demonstrate the knowledge and skills necessary to provide care appropriate to the age of the patients served on his or her assigned unit.  The individual must demonstrate knowledge of the principles of life span growth and development and the ability to assess data regarding the patient's status and provide care as described in the department's policies and procedures manual.
