Job Summary

Develops services and programs related to the maintenance of permanent records, registration procedures, academic policies and academic documents for students in the School of Medicine.

Qualifications

Bachelor’s degree in related field, or equivalency; plus 3 years related experience required. Demonstrated human relations and effective communication skills required. Experience working in higher education preferred. Supervisory experience preferred.

This position is not responsible for providing patient care.

Essential Functions

1. Oversee the medical student records process. Includes maintaining and interpreting guidelines and policies regarding student records, maintaining current and archived records, maintaining official documents, etc.

2. Coordinate course registration and collect grades and/or evaluations. Record final course grades and student performance evaluations.

3. Coordinate the visiting student process including verifying academic standing, ensuring documentation is accurate, ensuring application requirements are satisfied, verifying the student is scheduled, etc.

4. Manage and update course catalogs for the School of Medicine.

5. Maintain statistical data on students and create reports such as internal transcripts, verifications of education, graduation checks, enrollment reports, letters of good standing, etc.

6. Oversee the preparation of the Medical Student Performance Evaluation (MSPE)

7. Certify eligibility for residency matching services including the National Residency Match Program (NRMP), the San Francisco Match, the Urology Match and the Military Match.

8. Oversee student enrollment in the Electronic Residency Application Service (ERAS) including the upload of photograph, documents, transcripts, letters and the release of ERAS tokens to students.

9. Process graduation applications and certify students for graduation. Coordinate the withholding of diplomas and transcripts for students with outstanding obligations.

10. May supervise assistive staff including assigning and evaluating work, approving time sheets, conducting performance evaluations, etc.

11. Serve on internal and external committees or groups as requested.

Problem Solving

Representative challenges faced by the incumbent include ensuring courses are sequenced appropriately, addressing scheduling conflicts between faculty and students and resolving problems that arise in regards to examinations. May supervise assistive staff.
