Job Title: Events Supervisor

Job Summary

Assists with planning, implementation, and overseeing all needed arrangements, including supervision of staff, for special events in assigned departments and venues. Interface with all necessary departments, supervise and facilitate events, resolve conflicts and assign needed space.

Qualifications

Requires a Bachelor’s degree in a related area or equivalency and 3 years of progressively more responsible events coordination experience. Demonstrated human relations and effective communication skills required. A related field may include but is not limited to: Business, Communications, Hotel / Hospitality Management, Sports Management and Public Relations.

Demonstrated leadership skills in planning and supervising employees and processes.

Essential Functions

  1. Assists with facilitating, forecasting, planning, policies and procedures in the areas of customer service, staff management and budgetary goals and objectives that are consistent with University of Utah’s policies.
  2. Hires, trains, implements work direction and supervises event management and support staff. 
  3. Supervises the activities of staff, volunteers, subcontractors and vendors as required to successfully execute all aspects of the event on the scheduled delivery day. 
  4. Arranges logistics for all events and provides administrative support, including preparation and dissemination of informational materials and communications regarding the event. This may include, but not limited to; audiovisual usage, catering, security, supplies, transportation/parking, and guest services.
  5. Maintains ongoing communication with guests, staff and vendors.
  6. Provides administrative support; may negotiate contracts.
  7. May administer and monitor event budgeting, tracking and event invoice review and approval.

Problem Solving

Demonstrated leadership skills, critical thinking, problem solving, and decision making skills are essential to the position. Ability to oversee multiple projects/events and work assignments for a variety of staff, volunteers, and subcontractors.

Comments

Depending on the area of assignment, this position may be required to be on-call 7 days/week and may be called to work occasionally on weekends and evenings during special events.
