Job Title: Library/Museum Registrar

Job Summary

Coordinates logistics related to borrowing and lending of collections with other entities. As part of the team, works to determine Library/Museum collection needs and participates in grant proposal process. Creates, organizes and maintains processes for legal documents and files associated with acquisitions. Develops processes for shipping and storage of documents or collections.

 

Qualifications

Bachelor's degree in History, Art, Humanities, Library or Museum Sciences, related field or equivalency required. Ability to prioritize work and demonstrate excellent organizational skills; knowledge of computer tracking systems and databases; ability to apply storage and shipping conservation methods; demonstrated human relations and effective communication skills are required in order to effectively work with volunteers, employees and the public.

An advanced degree and additional experience may be preferred in some areas of assignment.

Essential Functions

  1. Establishes and implements cataloging, registration and record keeping procedures for collections of artifacts or documents.
  2. Develops systems to effectively manage the marking, coding and tracking of collections.
  3. Coordinates loan practices and makes adjustments to policies based on requirements of individual collections.
  4. Arranges for the proper handling, packing and shiping of collections,including negotiating insurance coverage and claims.
  5. Handles import/export customs procedures; processes requests for collection rights and reproductions.
  6. Creates and generates reports for tracking proper storage environment for collection.
  7. Catalogs and provides photographs for advertising and outreach programs.

     

Problem Solving

The Registrar sets policy and procedure regarding the cataloging and registration of the collection. As a result, the incumbent must balance the legal aspects of acquisitions, loans and shipping with the preservation needs of the collection. Each collection requires its own set of tracking rules. The Registrar needs to be flexible and resourceful in order to arrange for the proper handling of the collection based upon its own special needs.
