Job Title: Human Resources Assistant

Job Summary

Greets and assists guests in person or over the phone. Provides general office support to the Human Resources staff. Process and maintains personnel records, forms and files. Must demonstrate advanced knowledge of general office skills and equipment and personnel policies and procedures.

Qualifications

Two years of general office experience or equivalency; familiarity with general office equipment; and demonstrated organizational, computer, human relation and effective communication skills required.

Previous experience in a Human Resources office is preferred.

This position has no responsibility for providing care to patients.

Essential Functions

  1. Answers phones and refers calls to the appropriate person; answer questions related to human resources, payroll and the job application process.
  2. Assists interested parties in completing job applications via the on-line system.
  3. Replies to incoming e-mail requests on current openings to interested parties.
  4. Sorts and distributes all incoming faxes and mail.
  5. Updates and informs customers of current positions, as requested.
  6. Creates and maintains files of all personnel information; removes data from files on a time sensitive schedule.
  7. Performs periodic auditing and archiving duties.
  8. Performs Word processing, completes various types of correspondence.
  9. Responds to both verbal and written verification of employment requests.
  10. Retains log of employment verification requests.
  11. Assist in special projects throughout the Human Resources department.
  12. Screens incoming on-line applications for minimum requirements before qualifying candidate for position.

Problem Solving

Human Resources Assistants must act professionally when encountering customers who at times may be frustrated or threatening. Frequent interruptions while working on various projects require strong organizational skills. The essential functions of this position require the incumbent to routinely process highly confidential and sensitive personnel records in a professional and confidential manner.
