Job Summary

Supervises and coordinates activities within a copy center. Assigns tasks and equipment usage, controls cash flow, prepares and makes cash deposits, and responds to customers questions or complaints.

Qualifications

Three years related experience with at least two in a copy center environment, or equivalency; familiarity with copyright laws; and demonstrated communication and human relations skills required.

Experience should include an in-depth knowledge of high-speed duplicating equipment, a technical understanding of specialized binding processes, duplicating and graphics, cash handling, price estimating and machine maintenance.

Bachelor's degree in Business or Marketing and an understanding of multi-color offset printing preferred.

Essential Functions

  1. Oversees the daily operation of the Copy Center to ensure efficient service for all customers. Coordinates details with departments, students and other customers to create and produce packets, syllabi, brochures, pamphlets, etc.
  2. Supervises copy center employees by training and assigning work, coordinating job deliveries, scheduling machine usage, and evaluating performance.
  3. Ensures copied materials meet the requirements of all applicable copyright laws. Contacts publishers to determine royalty costs and obtains approval from copyright owners to print materials.
  4. Assists administration in preparing copy center annual budget and manages cash flow, billing and accounting procedures for the center.
  5. Resolves problems that arise due to errors, unmet or unrealistic deadlines, quality concerns, etc. Answers questions and follows-through to ensure customers are satisfied and jobs are completed according to specifications.
  6. Reviews copy requests to determine most effective method of reproduction and makes job assignments according to equipment and employee availability.
  7. Makes recommendations and implements job pricing policies and rate structures. Determines internal procedures and establishes and maintains copy quality standards.
  8. Keeps a daily record of cash flow and sales information.
  9. Prepares marketing materials in order to promote the Copy Center's services.
  10. Oversees the maintenance of all Copy Center machines and related equipment, and orders and maintains supplies and inventory.
  11. Maintains oversight of job status in process, completion and delivery dates, and coordinates schedules between copy centers and campus departments.
  12. Establishes copy quality standards and ensures employees maintain standards.
  13. Assists staff with duplicating and printing projects when needed.

Problem Solving

This position makes hiring/firing decisions, and salary and disciplinary recommendations. He/she trains, assigns work and resolves complaints and grievances. The incumbent prepares and oversees a small operating budget and works with vendors to select equipment for the copy center (authorizes purchases up to $500.00).

Some challenges the incumbent may encounter involve dealing with disgruntled customers who are unhappy with delays, quality of work, charges, or miscellaneous issues. Also, the volume for printed materials and services often fluctuates dramatically. The beginning of a quarter is very demanding and requires additional temporary help. The incumbent must understand the manpower demands for peak and slow times in order to staff according to need. A third challenge presents itself in the competition the University faces in the printing establishments of the local area. This requires a need for marketing efforts and quality control.
