Relocation Assistance Policy and Procedure

Policy Relocation Assistance is not to be offered routinely, but may be offered as incentive for highly qualified applicants to accept employment in hard to fill
positions. In such cases, the hiring department will assist with the cost of actual and reasonable expenses associated with relocation. Relocation assistance will be paid for relocations from outside Utah or
over 200 miles within Utah.
Procedure
- With Human Resources recommendation, the hiring department must obtain approval from the appropriate Associate Administrator prior to offering relocation assistance.
- The offer and terms of relocation assistance will be detailed in writing at the time an offer of employment is made. Candidates receiving relocation assistance will be expected to complete a minimum of a one-year term of employment unless released from employment by the Hospital, which will be explained in the offer letter.
- Payment will be reimbursement for actual costs incurred, up to $3000, but limited to the following:
- Costs of moving company (use University of Utah contracted company or submit three bids, using lowest) or rental fees and associated costs for moving van.
- Mileage for one personal vehicle.
- Current University of Utah per diem rate for food and lodging for up to four days of travel, for relocating employee and maximum of three immediate family members. Local accommodations excluded.
- Employee must submit itemized list of expenses with receipts within 30 days of employment.
- The hiring department will process payment.
- Exception to this policy may be made at the discretion of the Executive Director.
