Speaking Compensation

Position Reclassification: What it is and when it should happen?

A position reclassification occurs when the duties performed in a position no longer match the duties of the job description for which the employee was hired. The request for reclassifying a position can only be initiated by the supervisor and the employee must have been performing the new or different duties for about six months prior to the reclassification submission.

What needs to be submitted to Human Resources to begin this process?

  1. Department memo explaining the events or reason for the change in the duties.
  2. Current organizational chart.
  3. Description of the employee’s duties and the percentage of time spent performing each duty.
  4. Supervisor’s review or acknowledgement that the supervisor reviewed the description of duties and agrees that it is correct.
  5. Current resume from the employee.

Once the appropriate paperwork is received in Human Resources, the employee’s duties and scope of responsibility are assessed to determine if the position has expanded beyond the current classification. As part of the assessment process, a Compensation Analyst may meet with the employee to gain a better understanding of the position and how it has evolved.

If reclassification is appropriate the job description that best fits is determined based upon the duties performed. If it is found that the duties still fit within the current classification, the position will not be reclassified. Compensation will then work with the department administrator to discuss other options that may apply.

More information can be found at: http://www.hr.utah.edu/forms/lib/reclass.pdf or by calling the Compensation Department at 581-6206.
