The PAN Form Training and Reference Manual

COMMENTS:

Use this box to provide a narrative describing the actions and changes that are requested on the PAN form. Comments assist the Human Resource Department and Payroll Office employees in validating the changes and provide additional information in case an error or omission has occurred in the preparation of the PAN. When appropriate, this section should also include special instructions for processing.

Retro Pay:
Check this box if requesting retroactive payment on the PAN submission. Retroactive pay is usually a result of an employee being set up after the payroll deadline for the first affected pay period of the change. The payroll system looks forward, rather than backward, so retroactive salary adjustments must be handled as exceptions. This flag alerts the PAN processors of the special situation involved. NOTE: Retroactive pay can be generated solely from the PAN for an Exempt position, only. Retroactive pay for an hourly employee must be accomplished by way of the Time and Attendance reporting system.

Vacation Pay Out:
Check this box in order to request vacation accrual pay out to an employee who is terminating from the University. Upon formal retirement, the PAN form should indicate Vacation Pay Out, even if the individual will continue to work in a part-time (less than 20 hours per week) capacity after full retirement. In order to assure timely payment of vacation pay-out for a retirement, it is suggested the payroll reporter request, and pay for, special check processing.
